How the queue works
The Scan queue updates in real time and is designed to be handled in order.
Best practice:
- keep the queue open during service hours
- assign one person per shift to own decisions
- use manual scan only when needed
Quick approval checklist
Before approving, check three things:
- correct customer
- correct number of stamps
- purchase matches your in-store policy
Then approve once and move on.
When to decline a request
Decline only when there is a clear reason, such as:
- duplicate tap/request
- customer did not qualify for a stamp
- obvious misuse
Keep reasons consistent so your team gives the same answer every time.
Why limit warnings appear
If you see a limit warning, it usually means:
- the customer already reached today’s limit
- the request exceeds your per-visit limit
- the reset window has not passed yet
If this happens often, adjust your program settings at manager level instead of overriding case by case.
If a request was already handled
You may see this when another team member processed it first. Treat it as done and continue to the next person in the queue.
