Process stamp requests in the Scan tab

Use the pending request queue, approve safely, and handle errors without losing flow.

How the queue works

The Scan queue updates in real time and is designed to be handled in order.

Best practice:

  • keep the queue open during service hours
  • assign one person per shift to own decisions
  • use manual scan only when needed

Quick approval checklist

Before approving, check three things:

  • correct customer
  • correct number of stamps
  • purchase matches your in-store policy

Then approve once and move on.

When to decline a request

Decline only when there is a clear reason, such as:

  • duplicate tap/request
  • customer did not qualify for a stamp
  • obvious misuse

Keep reasons consistent so your team gives the same answer every time.

Why limit warnings appear

If you see a limit warning, it usually means:

  • the customer already reached today’s limit
  • the request exceeds your per-visit limit
  • the reset window has not passed yet

If this happens often, adjust your program settings at manager level instead of overriding case by case.

If a request was already handled

You may see this when another team member processed it first. Treat it as done and continue to the next person in the queue.
