Manage team roles, permissions, and invite links

Set access by role, invite staff safely, and avoid over-permissioned accounts.

Keep team access simple

Use clear role groups such as:

  • owner
  • manager
  • staff
  • viewer

Start simple, then customize access where needed.

Give access by responsibility

A practical rule:

  • staff get only what they need for checkout work
  • managers get tools needed for daily operations
  • owners keep high-risk controls

This reduces mistakes and protects your account.

Invite workflow best practice

When sending invite links, confirm:

  • correct role
  • correct locations
  • correct access level
  • clear expiry window

Revoke unused invites so old links cannot be used later.

Same-day offboarding checklist

When someone leaves:

  1. remove or disable account access
  2. revoke pending invites related to that role
  3. secure shared devices and logged-in sessions

Same-day offboarding reduces avoidable risk.

Common questions

Should I trust role names or detailed permissions?

Use detailed permissions as your final control, and use role names as a starting template.

What should stay with managers or owners?

Program changes, team management, location changes, and manual stamp corrections should stay with trusted leaders.

What should I do when a staff member leaves?

Remove access right away, revoke any pending invites linked to that role, and secure shared devices the same day.
