Invite and manage your team

Create invite links, assign someone to a location, and understand exactly what removing a team member does.

Sending an invite

Invites are created by the account owner from Settings, then Team.

  1. choose Create invite
  2. pick a role: Manager, Staff or Viewer
  3. pick the one location this person works at
  4. choose how long the link stays valid, from one to ninety days
  5. decide whether the link can be used once or many times
  6. adjust any individual permissions
  7. generate the link and send it to them

The link is shown once. Copy it before you close the panel.

Single use or reusable

A single-use link is right for one named person. It stops working the moment they accept.

A reusable link is useful when you are onboarding several people at once, but anyone who has the link can join your team, so treat it like a password and revoke it when you are done.

One location per person

Each team member is assigned to exactly one location. That controls which stamp requests and reward redemptions they can action at the till.

It does not restrict anything else. The customer list, analytics and campaigns are shared across your whole business for every team member.

  • Which stamp requests a staff member can approve
  • Which reward redemptions they can see and confirm
  • Stamp counts, busiest hours and busiest days in analytics
  • The location's own QR poster and scan link
Business-wide

Shared across every site

  • Your customer list and all customer cards
  • Members, segments, retention and top customers
  • Campaigns, promo codes and Autopilot
  • Loyalty cards themselves — a card is never tied to one site

Setting a loyalty card on a location only pre-selects it for that QR. Customers can still collect on any of your cards at any of your sites.

What a location actually changes. Assigning staff to a location scopes what they can action at the till. It does not split your customers, analytics or campaigns.

Accepting an invite

The person opens the link, signs in or creates an account, and they are on your team immediately. There is nothing for you to approve.

If someone you removed in the past uses a new invite, their access comes back with the new role and permissions rather than the old ones.

You cannot join your own team. As the owner you already have full access to everything.

Editing someone later

Open the team member from Settings, then Team. You can change any permission and move them to a different location.

Only the owner can edit an existing member.

Removing someone

Read this before you use it.

Removing a team member permanently deletes their stamps, loyalty card, rewards, and activity at your business. It is not a soft deactivation, and it cannot be undone.

What is not affected:

  • their StampClub account itself
  • their cards and stamps at other businesses
  • your own records of stamps issued to customers

If someone is simply leaving and you may want them back, revoking their access is safer than removing them, though for most shops, removing a former employee is exactly the right thing to do.

Common questions

Can a manager invite other team members?

No. Only the account owner can create invite links, even for a manager who has the Manage team permission. A manager can see and revoke pending invites, but not create them.

What happens when I remove a team member?

Removing someone permanently deletes their stamps, loyalty card, rewards and activity at your business. Their StampClub account and their data at other businesses are untouched. This cannot be undone.
