The three presets
When you invite someone you pick a role, which sets a starting point:
| Permission | Manager | Staff | Viewer |
|---|---|---|---|
| Issue stamps | Yes | Yes | No |
| Manually adjust stamps | Yes | No | No |
| View customers | Yes | Yes | Yes |
| Edit customers | Yes | No | No |
| Edit loyalty cards & rewards | Yes | No | No |
| Create & send campaigns | Yes | No | No |
| Manage promo codes | Yes | No | No |
| View analytics | Yes | No | Yes |
| Manage team | Yes | No | No |
| Manage locations | Yes | No | No |
Only the account owner can create invite links, even for a manager who has Manage team. Redeeming campaign offers at the till is bundled into Issue stamps — there is no separate switch for it.
The role is only a preset. Every switch can be changed before you send the invite, so you can build exactly the access you want.
Changing the role afterwards resets all the switches to that role's defaults, so set the role first and fine-tune second.
What each one means
- Issue stamps: approve stamp requests at the till. This also covers redeeming rewards and campaign offers; there is no separate switch for those.
- Manually adjust stamps: add or remove stamps by hand on a customer's card. Every adjustment is recorded with their name.
- View customers: see the member list, health segments and customer details.
- Edit customers: change customer information, and add, edit or delete notes.
- Edit loyalty cards and rewards: change stamp counts, rewards and card design.
- Create and send campaigns: build and send campaigns to your customers.
- Manage promo codes: create, edit and archive promo codes.
- View analytics: see the analytics dashboard.
- Manage team: see and revoke pending invites, and view the team list.
- Manage locations: add, edit and deactivate your locations.
What stays with the owner
Some things cannot be delegated, even to a manager with every switch on:
- creating team invite links
- editing an existing member's permissions
- exporting the customer list
- changing customer health settings
- turning on referrals, the review engine and integrations
These are the actions where a mistake is expensive or a full customer list leaves the building, so they stay with the account owner.
A manager with Manage team can still see and revoke pending invites. They simply cannot create new ones.
Setting limits on manual adjustments
When you grant Manually adjust stamps, two optional limits appear:
- a daily limit on how many adjustments that person can make
- a maximum number of stamps per adjustment
Leave both blank for no limit. Turning the permission off clears any limits you saved, so re-enter them if you turn it back on.
A sensible starting point
Give counter staff the Staff preset and nothing more. Give a shift lead Manager. Use Viewer for anyone who needs to see numbers but should never touch a card.
Grant Manually adjust stamps sparingly. It is the one permission that lets someone create value without a customer being present.
